Your tasks as an Office Manager / Executive Assistant may include, among others:

  • Provide direct administrative support to C-suite executives and senior leadership team
  • Coordinate and prepare materials for meetings, presentations, and reports and scribe and publish meeting minutes
  • Screen and manage communications, including phone calls, emails, and correspondence
  • Handle confidential information with professionalism and discretion
  • Assist with all travel arrangements, accommodations, and itineraries
  • Organize and maintain filing systems, both physical and digital
  • Serve as the point of contact for office-related issues or requests from staff
  • Collaborate with other departments and external stakeholders on various projects incl. office events and employee activities

To excel in this role, you will need a combination of the following qualifications: 

  • High school diploma/GED required
  • Vocational training required
  • Bachelor’s degree or equivalent experience preferred
  • 3+ years of proven experience as an Executive Assistant or in a similar administrative support role required
  • 3+ years of experience in international business environment required
  • Business fluent in English language required
  • French language is considered an asset
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Sharepoint)
  • Exceptional communication skills
  • High emotional intelligence
  • Professional demeanor and the ability to maintain confidentiality
  • Willingness to occasional travel for work
  • Must possess a legal work permit in Canada
  • Psychological aptitude test, if applicable
