What you’ll do:
The Executive Assistant provides high level, confidential support to the Chief Engineer, TT/S2 at DTNA (also known as the Mechatronics Department). This position handles preparation and planning for internal and external meetings, arranges detailed travel plans, manages a complex schedule, composes and prepares emails, and ensures appropriate preparation for each calendar item. In addition, the Executive Assistant will participate in projects and create presentations as need. Position offers a starting salary range of $27.88 - $36.00 Hr. USD

Pay offered dependent on knowledge, skills, and experience

What You Drive at DTNA

  • Manage and maintain schedules and appointments, catering, and travel arrangements for Mechatronics executives and management staff.
  • Coordinate meetings, agendas, record minutes, and distribution of notes and action items.
  • Meet, greet and interact with internal and external visitors and clients.
  • Effectively handle sensitive, confidential, and proprietary information. Establish and maintain confidential files and records, releasing documents and other information requiring the use of discretion as to the nature and extent of distribution.
  • Perform research for special assignments and prepare PowerPoint or other audiovisual graphic presentations, data analysis, and reports and recommendations.
  • Collaborate with other DTNA and global functional areas as needed to obtain data, and assist with documenting processes.
  • Edit, compose, and finalize both internal and external communications and presentations including highly confidential information.
  • Prepare and process various documentation and reports, including travel expense reports, NDAs, POs, goods receipts, SOWs, and other financial documentation as needed. Work with accounting and vendors to resolve billing issues.
  • Meet with Directors, Managers and the Controlling department regularly to review budget
  • On-boarding and overall staff support. Maintain departmental distribution lists and contact lists.
  • Manage office and business needs for supplies, materials, tools, IT equipment, seating arrangements and other resources.
  • Maintain internal corporate social intranet site and manage related communications and announcements
  • Manage and maintain global mail distribution lists
  • Performs other related duties as assigned

Knowledge You Should Bring

  • Associates degree or higher and prefer 2+ years of related executive or administrative assistant experience
  • Ability to work flexible hours including early morning hours (Germany/India)
  • Attend off-sites or workshops as required including local travel
  • Advanced knowledge of Microsoft Office applications
  • Excellent oral and written communication skills
  • Strong attention to detail
  • Experience organizing large events and maintaining relevant budgets
  • Strong interpersonal skills
  • Experience working in a global company or other global experience
  • Ability to successfully balance multiple priorities and tasks

Exceptional Candidates Might Have

  • Bachelor's degree in related field
  • Previous project experience
  • Experience managing vendors/suppliers
